Text Box: Enrollment & shift care reminders:

 This past claim month we received a lot of new and renewal enrollments with your menus.
When you send enrollments in with your menus there is no guarantee that the enrollment will be entered in time for the month you are claiming.  (IE: the claim month is February and the enrollment is for February 1st. Since you sent the enrollment in with your February menus, (that is by March 3rd)  you may not get paid for that child until the March claim is processed.) 
	It is always better to send in or bring in new or renewal enrollments as soon as the parent fills them out, with the date the child started with you, that is the date the parent signed. If you do not date the enrollment, we will. That way you are sure to have the  information entered on time and get their ID number to put on your attendance sheet before you mail it out. 
	This is especially true if you are changing times or meals for your care child. If a child that was claiming mornings is now claiming evenings, and the new information is not entered into the computer before the claim is scanned, you will not get reimbursed for the new meals. The enrollment must match what is in the computer at the time of processing. There will not be an adjustment because it is up to you to get the new information into the office before the claim is processed. If the enrollment expired or child was dropped and has returned, he may have a new ID number. Call into the office. If ID number has been changed and you put in the old number you may not be reimbursed for that child.
	One suggestion is to re-enroll all of your care kids the same month (maybe the month you renew your contract with county or the month you get your inspections if you are alternately approved) so you will not have so many dates to remember, or mark your calendar ahead of time for the year and check each month to see who needs new enrollments in for that month. 
	In case you have more than one shift you must note that on your attendance sheet by putting  an (A) or (B) next to the child’s name on that shift. Also note the shift on the back of the attendance sheet on the top right corner next to the times section. ( IE: you have a 7:00 AM and a 8:00 AM breakfast. The first breakfast is (A) and the second is (B). Each child on the (A) shift must have an (A) next to their name on the front of the attendance form in pen and the same for (B) shift. This goes for all meals that you have shifts. You can only have two shifts per meal. (There is a Shift Tip Sheet in your Provider’s Handbook, if you can’t find it call the office and we will mail you one.)
